Finance and Administrative Assistant – Position Description
This is a full-time (40 hours/week), entry level professional position that reports to the Director of Finance. Qualified candidates will have excellent organizational and communication skills, and enthusiasm to work collaboratively with our team. Candidates will bring prior experience working in a related field, required skills, and a passion for disability rights.

Duties and Responsibilities
Assists and supports the Director of Finance, Executive Team and all staff to maintain efficient operations and internal processes, including (but not limited to) the following, as assigned:
Accounting and Finance
Supports Director of Finance as directed with processes including:
- Accounts payable (A/P) and accounts receivable (A/R), including processing invoices, petty cash, bank deposits, credit card processing, cash donations and other tasks needed
- Payroll processing and documentation
- Maintaining and monitoring organizational contracts and accounts
- Financial records, vendor, contracts file maintenance
- Supports CEO, Executive Team and Managers with financial processes including:
- Financial reporting for funders, Board Members, Executive team and managers
- Tracks report due dates, submissions, grantor details and timelines
- Reviews proposal budgets for accuracy
- Supports CEO in donor drive
- Assists with purchase orders, reconciliation of expenses, cost share tracking, etc. as requested
Administrative:
- Supports office operations including:
- Answers the telephone, routes calls, monitors the general voicemail and fax
- Assists with shipping and mailing; sorts and distributes postal mail
- Monitors general email account, responds and/or routes general inquiry emails
- Maintains inventory of office supplies, publications, equipment, etc.
- Coordinates ordering of office supplies as needed
- Assists the Executive Team to develop, improve and implement systems and internal control procedures as needed
Project Support
- Assists the CEO, Director of Programs and program staff with special projects, fund raisers or special events as directed
- Assists with implementation of MIUSA program activities, including on-program support as requested during exchange programs with people with and without disabilities
- Accepts other tasks as necessary when responsibilities allow
Knowledge, Skills and Abilities
- High level of proficiency in Windows Operating Systems and Microsoft Office Suite (particularly Excel), Google Docs and Internet search engines (Chrome/FireFox/Explorer, etc.) required
- Effective writing skills for business correspondence and email communication
- Strong organizational, problem-solving, and analytical skills
- Able to work independently, manage priorities and workflow, manage multiple tasks effectively and efficiently
- Interpersonal communication skills and ability to:
- Work effectively with supervisor(s), executive team, program managers and other staff members in a team environment
- Engage effectively with a diverse range of individuals including those with and without disabilities
- Experience with entering A/P and A/R strongly preferred
- Knowledge of GAAP preferred
- Knowledge of/experience with state and federal accounting regulations for a 501(c)(3) organization strongly desired
Qualifications:
- Associate’s degree required or equivalent combination of education and experience
- Strong mathematical skills
- Previous office environment work experience; experience in a non-profit strongly desired
- CPR/First Aid certified prior to hiring or will get certified before working on an exchange program
- All MIUSA staff are required to be fully vaccinated for COVID-19
